For everyone who runs events

Run the whole event — not just the ticket sales.

Ticketing tools look after your guests. EventsMagic also runs everyone else who makes the event happen — volunteers on shifts, vendors and their paperwork, artists, sponsors and your crew — each with their own way in, in one app. Then your guests follow you, so the next event never starts from zero.

Free to start: unlimited events and guests, no card needed. Vouchers, dynamic pricing, volunteers and reports come with Pro.

What’s different

Everything a ticketing tool does — and everything around it.

Every ticketing platform sells tickets, builds an event page and scans QR codes, and so does EventsMagic. The difference is the rest of the work — the volunteers, the vendors, the perks and the money — that usually lives in sign-up sheets, email threads and spreadsheets.

One guest list underneath

Sell a ticket and that person is already on your door list, in your messages and in your numbers, with nothing to copy across.

One budget that fills itself

Ticket sales, sponsorships, artist fees, rentals and staff pay land in the event’s profit and loss as they happen.

The right access for every helper

Co-hosts, door staff, volunteers and a venue’s bar staff each see only what their role needs — and people without an account sign in with a link.

Donations and memberships

Raise money toward a goal, with tax receipts for Canada and the US, and sell memberships on your organizer page. On Business.

Everyone who makes it happen

Each with their own way in — all in one place.

Volunteers & staff

Volunteers who organize themselves.

Open shifts on your event site and people pick their own. At the event they scan in and out, and a paid shift’s hours become pay and a line in your budget. On Pro.

  • Shifts people pick themselves
  • Check-in and check-out by scan, hours counted
  • Staff pay in the event budget
Volunteers in detail →

Vendors & sponsors

Vendors and sponsors who do their own paperwork.

Vendors apply for a stall and sponsors for a package on your event site, and pay online. Each vendor then sends insurance and permits by a link of its own, reminded before anything expires. Applications on Business, documents on Pro.

  • Stall and sponsor applications, paid online
  • Insurance and permits through the vendor’s own link
  • A venue’s own requirements asked automatically
Vendors in detail →

Artists & lineup

Every act booked, settled and on your site.

Keep each act once and follow every booking from hold to settled, with the contract attached. The fee lands in the budget by itself, and the lineup shows on your event website. On Business.

  • Holds, offers, contracts and riders
  • Fees in the budget automatically
  • The lineup with set times on your site
Live music in detail →

Vouchers & perks

A perk with every ticket — handled.

A meal, a drink, a T-shirt, a tasting: whatever you include goes out with each ticket, with the guest’s own code by email and in their wallet. It is scanned once where it is handed over, and you see what is owed to the venue or vendor. On Pro.

  • Food, drinks, merch or experiences — any perk
  • A redeem-only link for a venue’s or vendor’s staff
  • What is owed, counted for you
Vouchers in detail →

Arrivals & departures

Know who is inside, who has left — and when.

Who is still here, who has left and who has not arrived, live for the whole crew and entrance by entrance. On Pro, see when each guest came and went, then write only to those who came.

  • Still here, left and not arrived — on every plan
  • Arrival and departure times by entrance, on Pro
  • A thank-you only to the guests who came

Bring them back

Every event builds an audience for the next one.

Your organizer page

One home for everything you run — that people follow.

All your events live on one public page under your name: what is coming up and what has passed. Guests follow you and get an email when you publish something new, or add your events to their own calendar, where new dates appear by themselves. Put the same list on your own website with a snippet, and let people find it in Google and Bing. Every plan includes it; on Business it can also take gifts for your causes and sell memberships.

  • Every event on one page, upcoming and past
  • Followers hear about each new event by email
  • A calendar feed, and your events on your own website

How it works

Up and running in an afternoon.

  1. 01

    Create

A guided setup asks only what your event needs: dates, venue, tickets and questions.

  2. 02

    Publish

Your event website goes live with registration and checkout built in. Share the link or the QR code.

  3. 03

    Run

Remind guests, brief your crew, check everyone in, redeem vouchers and watch arrivals live — all from your phones.

  4. 04

    Bring them back

See what sold, who came and what it cost — then your followers hear about the next one.

Questions

Good to know.

What is EventsMagic?

Event management software that does everything a ticketing platform does — tickets, an event website, registration, check-in and messages — and also runs the people and the work around the event that those tools leave to sign-up sheets, email threads and spreadsheets: volunteers and paid staff, vendors and their documents, artists, sponsors, perks with each ticket, the budget and race timing. One guest list sits underneath, so a ticket sold is already a guest on your list, a QR code at the door, a voucher at the bar and a line in your profit and loss.

Is it really free to start?

Yes. The Free plan includes unlimited events and guests, the event website, ticketing with checkout, discount codes, approvals and waitlists, tracked links per channel, wallet passes and check-in. Each reply names its main guest and how many are coming; naming every guest in a party comes with Pro, as do vouchers, dynamic pricing, SMS and WhatsApp, volunteers, race timing and detailed reports. When you sell online — tickets, add-ons, sponsorships or paid sign-up items — a small service fee applies, and it gets smaller on paid plans. Free tickets and cash taken at the door have no fee.

How much does it cost?

The Free plan has no monthly price: you pay only a small service fee on what you sell online. Pro and Business have a monthly price, a lower fee and a cap per order, and paying yearly costs less. Our pricing page always has the current figures, in US or Canadian dollars. Stripe’s card processing fee is separate.

Can people donate or buy a membership?

Yes, on Business. Set up a cause and what you hope to raise, and people can give from your organizer page or your event website. Donors get tax receipts for Canada and the US, and monthly gifts get one yearly summary. Memberships sell on your organizer page, for a set term or renewing automatically.

Is it only for small events?

No. There is no limit on events or guests on any plan, and EventsMagic is built for a whole team: several entrances and merch tables, crew roles that see only what they need, volunteer shifts, budgets and reports. Your team signs in with their own accounts, with more seats on each plan up, and door staff, volunteers and venue staff can work from a sign-in link. Running something bigger? Ask us about a custom plan.

Can people follow us to hear about our next event?

Yes, on every plan. Your organizer page lists all your events, upcoming and past. Turn on following by email, and visitors leave their address, confirm it, and get an email each time you publish a new event — with an unsubscribe link in every one. Or they add your events to Apple, Google or Outlook Calendar, where new events, changes and cancellations appear by themselves. A snippet puts the same list on your own website, and the page and its events can appear in Google and Bing search.

Can I run a race or a fun run?

Yes. Runners register and sign the waiver online and get a bib number. On race day you start each wave, record finish times by bib and publish live results on the event website, while marshals and volunteers check in for their shifts with a scan. Race timing, waivers and volunteer shifts come with the Pro plan.

Can I run weekly or recurring events?

Yes. A recurring event has its dates under one event page, with a capacity, a guest list and check-in for each date.

Can we move from another ticketing tool?

Yes. Bring your guest or member list across as a CSV file, and book a session if you would like help setting up your first event. Tickets you already sold on another platform stay there.
